Position Overview
We’re looking for an organized and experienced Maintenance Team Coordinator to help our field operation run smoothly as we grow. This role is a strong fit for someone who enjoys bringing order to moving parts, supporting people in doing their best work, and solving problems before they become larger ones. You’ll coordinate schedules and routes, support our Lead and Assistant Gardeners, maintain quality standards, help resolve client and field issues, and keep the information behind the operation organized and current. The position begins at approximately 15 hours per week with a mix of remote work and on-site involvement, along with meaningful autonomy in how those hours are structured. As the maintenance operation grows, the role is designed to grow with it into broader operational leadership.
Key Responsibilities
Operations & Scheduling: Manage the scheduling system for all weekly, bi-weekly, and monthly client maintenance visits, optimizing routes for the field team.
Team Leadership & Oversight: Supervise and mentor field gardeners (Leads and Assistants). Conduct field check-ins to audit garden aesthetics, plant health and generally maintain company quality standards.
Client & Account Management: Serve as an escalation point for client inquiries, troubleshooting horticultural and logistics issues, maintaining exceptionally high client retention and satisfaction.
Data & Digital Systems: Review digital job logs, progress photos, and tracking applications submitted by field teams to ensure precise records and seamless communication.

Schedule Requirements
Weekly Commitment: Focused 15 hours per week, with a mix of remote administrative tasks and on-site field/headquarters check-ins.
Team Synchronization: Lead or actively participate in our mandatory 1-hour virtual team meeting every Monday.
Flexibility: Ability to structure hours dynamically across the week to match operational and client demands.
Minimum Job Requirements
Experience: Minimum of 3 years of professional experience in project management, team leadership, account management, or agricultural operations. Robust knowledge of South Florida horticulture or edible gardening is highly preferred.
Leadership Track Record: Proven experience managing people, delegating tasks, and organizing logistical systems.
Technology: High proficiency with Google Workspace (G Suite), spreadsheet management, and job-tracking/scheduling mobile applications.
Driving Record: Valid driver’s license with a clean driving record.
The Ideal Candidate Possesses
Exceptional communication skills with the ability to manage client relationships professionally and authoritatively.
Strong problem-solving abilities, especially regarding scheduling conflicts, logistics for field teams and plant health troubleshooting.
A balance of project management capability and a meticulous eye for fine detail.
Previous experience running or organizing small business operations or landscaping/farming teams.
